Background
JN Bentley, part of the Mott MacDonald Group, employs over 1,500 people with a turnover exceeding £250M providing water utilities and environmental design and build. The business had ambitious growth plans to double in size in 3 years, and the incumbent legacy system had reached its limit. To achieve growth targets, a new scalable system offering increased functionality and encapsulating digital transformation was required.

Working primarily on defined cost frameworks, JN Bentley’s revenues are directly dependent on the availability of robust cost information on time and with a high degree of accuracy and transparency available for clients. With the large-scale deployment of Xpedeon across all functional areas within the business they were able to eliminate duplication of work across departments and fostered increased communication and collaboration between teams. This ensured that there was up to date and reconciled cost information available to hand at the touch of a button.
The specialised Payment Applications and Commercial Valuations module to support NEC3/4 Framework Contracts ensured that the compilation and processing times for raising these (and associated cash receipts) were significantly reduced due to automated translation of costs based on defined principles of the contract.
The additional benefit being that JN Bentley was also able to offer their customers a high degree of transparency on the underlying cost data.
The ability to get a historical point in time information directly through the system provided enhanced analytical capability within the business, directly resulting in proactive financial decision making on issues concerning profitability and revenue.
Significant growth in business resulted in a corresponding growth in the volume of invoices to be processed across the material, plant hire and agency labour streams. By deploying the E-Invoicing suite in conjunction with the Supply Chain Portal, the Accounts Payable and Procurement teams at JN Bentley were able to handle the volume growth without a proportional increase in team size.
The Smart Match technology of Xpedeon ensured a high proportion of invoices were automatically matched to purchase orders and goods receipts, thereby completely eliminating manual intervention.
Furthermore, enabling suppliers with online portal access, ensured smooth communication on queries and instant availability statement of accounts, greatly reducing the number of calls the department had to process on a daily basis and delivering improved Prompt Payment Performance for the business.
Like many businesses, the traditional form of labour management was on spreadsheets which were causing processing problems. Using Xpedeon Payroll & Timesheets these processes were totally automated.
Xpedeon Dynamic Forms were introduced to help sites to report efficiently on safety and environmental events as well as inspection and testing records. This has ensured that central teams are able to review the of projects more holistically and depart from traditional paper-based forms.
